any and all personal data you share with us. We do not and will not sell, share or rent your personal data. If you have

We (Irish Seed Savers Association CLG) refer to you a lot in this Privacy Policy and how you interact with us may change

Supporter – You may be a current or lapsed supporter of Irish Seed Savers.
Customer – You have made a purchase from our online / on-site shop including buying any of our services,
products, courses etc.
Donor – You have donated to Irish Seed Savers as a one off payment or as a regular giver.
Visitor – you have visited our gardens, our website, attended our courses, talks, events etc. either on site or
around the country.
Volunteer – You have acted as a volunteer (or expressed an interest in volunteering / internship) helping out at
events, in our gardens, participating with programme work etc.
Service user – You may be a service user if you use our site / staff / experience etc. This can apply to schools,
community groups / gardens, seed guardian, companies and individuals who receive a service from us. This can
include, but not exclusive to, advertising, providing talks, workshops, wholesale etc.

Irrespective of your interaction with us we balance our legitimate business purposes as a charity against your rights as an
individual and only collect the personal data we need that does not intrude on your privacy or previously expressed
marketing preferences.

Information Collected

The information you provide to us i.e. name, address, financial information, billing address, shipping address, email
address and any phone numbers are only used for legitimate business purposes. This information is used for the purposes
that it is given for, billing purposes, shipping orders to the customer etc. If we encounter difficulty when processing an
order, this contact information is used to contact the user. This information is collected from a secure web page and
encrypted for our customers protection.

Any other correspondence from our supporters is held on file and once two years passes since their supportership lapsed
this is shredded and removed from our storage files but is still available through our e-commerce site.

In order to process volunteer applications we may also collect references, Garda vetting (if working with children),
qualifications, previous work/volunteer experience, details of emergency contacts, and any essential health information.
This information will be retained for legal or contractual reasons, to protect us (including in the event of an insurance or
legal claim).

Billing Information

If you make a card payment (online or over the telephone), either as a member, donor or to receive any of our services,
we also require you to provide your billing details, name, address, phone number, email address, financial information
etc.

For Revenue purposes we are required to retain financial transactions (but not the detail of payment) for a period of 7
years. We keep hard copies of online transactions (invoices) and supporter sign-ups for this period. Thereafter all hard
copy information is shredded and discarded through an official data shredding organisation.

Our online store is hosted by Volusion. They are the online e-commerce platform that allows us to sell our products and
services to you. When you make a purchase or create an account your billing / shipping data is stored on Volusions
databases. They store your data on a secure server behind a firewall. If you have any concerns on how your data is stored

Your purchase transaction data is stored only as long as is necessary to complete your purchase transaction. We do not
store your credit or debit card details at all, following the completion of your transaction. All card details and validation
codes are securely destroyed once the payment or donation has been processed.

Details of the transaction (but not the payment method if paid by credit/debit card) is held on our encrypted accounting
system and hard copies of the transaction (but not payment details) are stored in our offices, in secured, locked cabinets
for a period of 7 years for Revenue audit purposes.

After this period the hard copy details are shredded using a data destruction company which is certified to confirm all
information is destroyed. Online copies of the transactions are then archived through our third-party provider, Volusion.

All direct payment gateways adhere to the standards set by PCI compliance. If you set up a direct debit to become a
supporter or regular donor, we will collect and store your bank details in order to be able to carry out this transaction.
These details are stored securely in encrypted files on encrypted computer systems.

Cookies Policy

Cookies are very small text files that are stored on your computer when you visit some websites. We use cookies to
provide you with the best user experience while on our site. These cookies may contain information about: log-in IDs,
identifying which version of a webpage, visitors preferences for pages, what pages audiences enter our site from and to
analyse what users do on our site. This helps track shopping basket contents and remember where you are in the order
process. You can disable any cookies already stored on your computer, but these may stop our website from functioning properly
for you. When you enter our site you will be prompted with our cookie consent box, this will take you to our privacy

IP addresses may be used in fraudulent charge investigations and in other ways necessary to provide this service.

Your account information is password-protected for your privacy and security. We use industry-standard SSL-encryption
to protect data transmissions in certain areas such as our shopping-cart and account pages.

practices or content of other sites. We encourage our users to be aware when they leave our site and to read the privacy

Marketing and Communications

As a supporter / customer it is essential we are able to contact you for business purposes, placing orders, processing
payments, renewals etc. This can be via post, phone or email, however from time to time we may contact you in relation
to other legitimate purposes that serve our charities aims and mission. This may be in the form of.

Supporters – As a current / lapsed supporter of Irish Seed Savers it is essential we provide you with the best
service possible. To do this we will have to contact you from time to time, either by post / phone / email. This will
be for legitimate business purposes e.g. regarding your renewals, sign-ups, receiving our seed catalogues and
newsletters any special supporter packages / offers, keeping you informed of our events, fundraising campaigns
etc.

Newsletters- As part of the supporter package you will receive two newsletters every year from Irish Seed Savers.
These contain articles about what’s happening on our farm, gardening tips, news about our outreach programs,
our events, workshops, supporterships, promotions, offers, as well as appeals for fundraising and volunteering
initiatives. If you have given us your postal address, we will send you a newsletter by post unless you tell us you
don’t want to receive them (opted-out).If you have given us your email address for the purposes of sending you
an email Newsletter, we will send them to you until you tell us you have changed your mind (opted-out)

Ezene and E-Mail – If a user wishes to subscribe to our monthly emails we ask them to actively opt-in. These emails
are sent via Mailchimp, so if at any time you should wish to unsubscribe from these emails you can do so via the
link provided at the bottom of every ezene email. You can also contact us at any point by emailing us at

Direct Marketing and Fundraising Appeals – When you provide your address, telephone number or email address,
we will ask you if we can send you fundraising materials by post, phone or email. (opt-in) This may be by way of
a tick box or it could be by giving you an optional form you can fill in. You can opt-out of post, phone or email
contact at any time either by following the instructions in the communication, or by contacting us via phone or

Tax Reclaim – If you have personally given 250 euro or more in a calendar year your donation(s) may be eligible for
tax reclaim from the Revenue Commissioners of up to an additional 45% of the total value at no cost to you. We
will contact you by post with information that will allow us to submit a claim unless you opt-out.

Retention

Irish Seed Savers Association CLG only stores personal data for as long as is necessary for legitimate business purposes
and to comply with revenue / financial regulations.

Information is audited on an annual basis to determine that all data held is still relevant and accurate. If there is no further
reason for holding data it is deleted.

Individuals or member groups may request to have their personal data supplied to them and/or removed or updated by
giving 30 days notice to Irish Seed Savers Association CLG in writing to us at Capparoe, Scarriff, Co. Clare, V94 V6W0.

Review

This Data Protection Policy will be reviewed regularly in light of any legislative or other relevant developments. We may
update the terms of this policy at any time, so please check it periodically if you have any concerns. By continuing to use
